WhatsApp Business with multiple users: what the app allows

The free app lets you run one number from your phone and up to 4 linked devices at once, but it does not share out the chats. What breaks as the team grows, what the options are and what each one costs.

In 30 seconds

  • Yes, several people can use the same WhatsApp Business account for free: the main phone plus up to 4 linked devices at once (WhatsApp Web, the desktop app, an Android tablet or another phone).
  • Everyone sees and answers the same chats. The free app does not assign chats or show who sent each message. Two people can answer the same customer without knowing it.
  • Everything hangs on the main phone. It is the one that links devices. If it goes more than 14 days unused, every linked device is logged out.
  • Meta One, Meta's paid subscription, raises the limit to up to 10 devices and adds chat assignment. Going past 4 costs from US$49.99 a month per number, and it is not in every country yet.
  • With the official API there are no devices to count. The team answers from a tool, and the tool decides how many people get in. With coexistence, the phone keeps working on the same number.

Can several people use the same WhatsApp Business account?

Yes. The WhatsApp Business app, a free download, lets you use one account on one phone and up to four linked devices at once. Each device can be used by a different person. That way a team of up to five can answer the same number without paying anything.

How it works:

  • What you can link: WhatsApp Web in a browser, WhatsApp for desktop, an Android tablet, or another phone as a companion phone.
  • You link from the main phone, with a QR code. That phone registers the account, and only that phone can add devices.
  • Linked devices work with the phone switched off, but they are logged out if the phone goes more than 14 days unused. A device with 30 days of inactivity is disconnected on its own.
  • Each device can have a name, for example the name of the person using it.
  • The private notes on each customer show on every device.
  • Only on the phone can you create or view broadcast lists, share your live location and post a status.

For a small team that shares out customers by talking it over, this is usually enough.

What breaks as the team grows?

The problem is not the number of devices. It is that the whole team shares one inbox with no rules:

  • Two people answer the same chat. Everyone sees the same chats and the free app assigns none of them. Two people can answer the same customer. Or nobody does, because each thinks the other has it.
  • Nobody knows who said what. Without the multi-agent feature, which is paid, the app does not show which person sent each message. If a customer complains about a reply, you will not know who gave it.
  • There is no seat for a fifth person. With four linked devices in use, someone has to be unlinked to let another in.
  • One note per customer is not a team conversation. The note and the labels are for jotting down facts. To hand a case to a colleague, with its context, they fall short.
  • It all depends on one phone. If the main phone is lost, the linked devices last 14 days at most. And without it, no new device can be linked.

The app with Meta One. Meta One is the paid subscription Meta announced on 15 September 2026. It brings the multi-agent feature: up to 10 devices, assigning each chat to a person and seeing who sent each message. The customer sees none of this. Worth knowing:

  • Devices per plan. On Meta's plans page, Essential stays at 4, Advanced goes to 6, Expert to 8 and Max to 10. WhatsApp's help lists "more linked devices" already in Essential. What counts is what the app shows you before you pay.
  • Availability. Meta announced it worldwide, but its help says it is still in limited testing. If it does not appear under Tools > Subscriptions in the app, you do not have it yet.
  • Calls. With more than 4 linked devices, calls only ring on the main phone.
  • If you cancel, only the 4 most recently used devices stay linked.
  • Meta Verified, the earlier subscription, also raises the limit in its higher plans: 6, 8 or 10 devices.

The API with a dedicated number. The number is connected to WhatsApp's official platform (the API) and the team answers from a tool. For example, a team inbox like BlueMarlin, which assigns each chat, keeps internal notes and lets several people work at once. The API does not count devices or seats: it is used by software. What Meta limits is speed: 80 messages per second per number. In exchange, the number stops working in the WhatsApp app. And to write to someone who has not written to you in 24 hours, you need a template approved by Meta, which is paid.

The API with coexistence. You connect the number you already use in the WhatsApp Business app to a tool, and both keep working. Each chat's messages show up in both places. Three details:

  • When you connect, the app unlinks every device. You can link up to four again, except the WhatsApp for Windows app and Wear OS. On Windows, WhatsApp Web in a browser does work.
  • Speed is fixed at 20 messages per second, or 72,000 an hour. A small business will not notice.
  • The phone has to be used. If the app goes about 14 days without being opened, Meta disconnects the number from the API. Groups stay on the phone only.

What does each option cost?

  • The WhatsApp Business app: free, including the messages you send from it.
  • Meta One: from US$14.99 a month per number, and from US$49.99 to go past 4 devices. You pay through Google Play or the App Store, and it renews every month. Meta warns that prices and plans vary by country: you see yours in the app before paying.
  • The API, with a dedicated number or with coexistence: the tool and, on top, what Meta charges per message. From 1 October 2026, Meta gives 1,000 free replies a month per number within the 24 hours. After that it charges each reply: €0.0166 in Spain. Writing first takes a template, which is paid separately. With coexistence, what you send from the phone stays free.
  • The tool: each one has its own pricing. Check whether it charges per user, because in a team that is what weighs most. BlueMarlin includes users in the plan: 5 on Starter (€49 a month) and 10 on Business (€99 a month), before VAT (pricing as of 30 September 2026).

An example: a team of 6 people answering 3,000 messages a month, with Spanish rates.

Which option suits you?

  • Five of you or fewer, and each knows which customers they handle: the free app is enough.
  • More of you, or you need to assign chats without leaving the app: Meta One, if it shows up for you.
  • You need assignment, internal notes, automatic reminders or several numbers in one inbox: a team inbox on the API. With coexistence if you want to keep the phone. With a dedicated number if you no longer need it.

Frequently asked questions

Can I use WhatsApp Business on several computers at the same time?

Yes. Each computer running WhatsApp Web or the desktop app counts as one linked device. You can have up to four at once, plus the phone, and they work with the phone switched off as long as it is used at least once every 14 days. With Meta One the limit goes up to 10, depending on the plan.

Can WhatsApp Business have several admins?

In the app, whoever holds the main phone is in charge: it registers the account and links or unlinks the devices. Everyone else comes in through linked devices and sees the same chats. With the API, the number belongs to the business's account in Meta, which can have several admins. And the support tool has its own permissions.

What happens if the main phone is switched off or lost?

Linked devices keep working without it, but they are logged out if it goes more than 14 days unused. No new devices can be linked either. With coexistence, if the app on the phone goes about 14 days without being opened, Meta disconnects the number from the API. With a number dedicated to the API, the phone no longer plays a part.

Can the customer see which person is replying?

No. With the multi-agent feature, the app records which person and which device sent each message. According to WhatsApp, the customer cannot see who wrote, from which device, or who their chat was assigned to. To them, everything comes from the same number.

Can I have the same WhatsApp Business account on two phones?

Yes. A second phone can be linked as a companion phone, and it counts as one of the four devices. The main phone is still the one that registers the account and links the others.

What if each salesperson uses their own number?

Then each number is a separate account, with its own phone and devices, and the business has those conversations nowhere in common. Bringing them together takes a tool on the API. In BlueMarlin, each salesperson can connect their number as a "personal line", with coexistence. They keep replying from their phone, their customers go into the business's records, and only that person reads the messages.
